Welcome to Udio’s customer portal walkthrough guide. If you’re new to the portal, this is where you can enjoy full visibility over your memberships, reducing the need to queue at reception or call/email your facility about a booking or payment.
Each business might set up their portal slightly differently, so the below screenshots should be referenced as a guide only.
Once you’ve created your account (see steps for this below), you can:
- View your upcoming bookings
- Change your booking day/time
- Book a make up (if your facility allows make ups)
- Book into a school holiday program
- Update your contact details and health information
- Cancel a lesson if you’re unable to attend
- Make a booking after taking a break
- Track your child’s progress
- View personal best results
- Set up automatic payments
All this can be done from your mobile, tablet or computer at your convenience.
To activate your account, follow the link sent to your email by your facility.
- Insert your email address and create a password
- Read and accept any terms of service
- Click Sign up
Alternatively, if your facility links to the customer portal via their website and you do not have an account with them, you can sign up from there.
- Click Sign up
- Fill out your details
- Read and accept any terms of service
- Click Sign up

Now that you've created your account, you can log in from the same page you signed up from.
- Enter you email and password
- Click Sign in
- You should now see the dashboard/home screen - we'd recommend bookmarking this page for quick and easy access

The dashboard or home page shows important announcements, your account balance, bookable classes, available vouchers and upcoming bookings. If you visit a facility that offers self check-in, you'll also see a button at the bottom of the screen with a QR code that you can scan at the terminal.
The menu depends on which device you're using - you'll either see it across the top of your screen or see three lines that once clicked, will show the menu as a drop-down.
Bookings
This is where you will see all your upcoming bookings. On this page, you can also enrol into a new class, change your booking day/time and notify the teacher if you/your child are unable to attend a class.
Vouchers
Facilities that offer make ups or similar vouchers will show this page when someone on the billing has an available voucher (otherwise it will be hidden) which you can use to make a booking. You'll be able to see all vouchers for everyone on your billing account and expiry dates if applicable.
People
This page lists all the people on your billing account. You can add a new family member, enrol into a new class, update contact details and add/edit any health records.
Progress
This is where you can view the progress of each person on your billing account. Once you select a person, you can view the details of each progression and download/print any certificates.
Billing
You can manage your payment methods and set up/disable any automated payments on this page of the portal. You can also view closed invoices.
Once you've signed up to the portal and logged in, you will be invited to start your enrolment. Depending on whether you are a new or existing customer, you may need to add the student(s) by going to the People tab and clicking Add Person.
- Once your family members are added, click Start Enrolment
- Select the student you want to enrol (note: you can also add a student here rather than going into the People tab)
- Select your course from the options provided
- Choose your day and time of the session(s) you want to book into, using the filters if necessary, and click Book into selected sessions
- Select the start date of your first session and click Confirm start date
- Review your booking details and click Reserve spot
- You will now be taken to the payment screen to confirm your booking (note: booking will not be completed until a payment method has been added)
- If no payment method has been added, click Add Credit or Debit Card and complete
- Once you've added your card, click Complete Booking to confirm
- The screen will then take you to your upcoming bookings and payment will be taken within 6 hours

If you prefer to manage your payments online, you can set up a regular payment method.
- From the dashboard or billing page, click Add Credit or Debit Card
- Complete the fields and click Add Card
- You will be redirected to the billing page which will show any outstanding invoices
- Any open invoices will be automatically paid within 6 hours
- By adding this information, you successfully enable automatic payments - all future booking fees will be taken from this payment method

If you need to permanently change the day and/or time of your upcoming classes, you can do so under the Bookings tab.
- Click on the Change Day & Time button under Upcoming Bookings
- Select the student and session you want to change
- View the course timetable and choose the booking that suits you best
- Select your start date
- Click Confirm Date & Time before reviewing a final time and clicking Confirm New Date & Time
- Your upcoming bookings will now include your updated classes showing the new time and/or day

Some facilities will add hot buttons to the home page for sessions such as school holiday programs (see screenshot below), but for those that don't, you can enrol via the Bookings tab.
- Click Enroll into a new class
- Update the facility (if necessary) and select the student you want to book into the program
- Click the School Holiday Program tab and select the course
- Choose the time, click Confirm Start Date, then click Reserve Spot
- You will then have 10 minutes to confirm booking and payment; once you're happy, click Complete Booking
- You will then see the classes under Upcoming Bookings with a School Holiday Program tag
- Payment will be automatically taken within 6 hours of making the booking








If you can’t make a lesson, you can let your facility know by following the instructions below. Once cancelled, you can book a make up directly in the portal (only if your facility allows you to book make ups). To do this:
- Under Upcoming Bookings, click Unable to attend? next to the class you can't attend, then click Confirm
- The booking will then show as cancelled for the nominated day
Next, go to the Vouchers tab in the menu and click Make Booking
Select which student the make up is for
Select the make up lesson day and time, then click Make Booking to confirm

You can now easily view your child’s achievements as well as information about the class they’re booked into. Head to the Progress tab to:
- View your child’s progress in their current level
- Download any merits and certificates from current and previous levels
- Read information about their past, current and future lessons as well as view any informational videos

If you need to update details such as your phone number, home address or allergy information, you can do so in just a few clicks via the portal.
- Click on the People tab to view all family members and their health records
- Click Add Health Record to add a condition or allergy
- Click Update Contact Details to edit your phone number or address
- On this page, you can also add a new family member and enrol into a new class
